This calculator determines the hourly rate you must charge to reach your target income after accounting for all costs, taxes, and non-billable time. Here is the process:
First, we calculate the total revenue you need to generate: target income ÷ (1 − tax rate) + business expenses. This is the amount you must earn before taxes and platform fees.
Next, we calculate effective billable hours: weeks worked × hours per week × utilization rate. This gives the actual number of hours you will bill clients per year.
Finally, gross revenue ÷ billable hours = your minimum hourly rate. The recommended rate adds a 20% buffer for slow periods, admin, and profit margin.
All calculations run in your browser. No data is sent to any server. Results are estimates based on the formulas below — your actual rate may vary based on market conditions, experience, and niche.
Billable hours are the hours you actually spend working on client projects that you can invoice. Most freelancers are shocked to discover how few hours they actually bill per year.
| Work Style | Hours/Week | Utilization | Billable Hours/Year |
|---|---|---|---|
| Part-time freelancer | 20 | 60% | 576 |
| Full-time (standard) | 40 | 60% | 1,152 |
| High-efficiency full-time | 40 | 75% | 1,440 |
| Burned-out overtimer | 60 | 50% | 1,440 |
Source: Industry surveys consistently show 50–70% utilization for independent freelancers. The remaining time goes to admin, marketing, invoicing, learning, and client acquisition.
The core formulas used by this calculator:
Gross Revenue = Target Income ÷ (1 − Effective Tax Rate) + Expenses
The effective tax rate combines income tax and platform fees. For example, 30% tax + 10% platform fee = 37% effective rate (not 40%, because the platform fee is deducted from pre-tax income).
Billable Hours = Weeks × Hours/Week × Utilization%
If you work 48 weeks, 40 hours/week, at 60% utilization: 48 × 40 × 0.60 = 1,152 billable hours per year.
Hourly Rate = Gross Revenue ÷ Billable Hours
This is the minimum you must charge per hour to break even. The recommended rate multiplies by 1.20 (20% buffer).
Retainer = Hourly × Hours/Week × 4 weeks × 0.90
A 10% discount reflects the value of guaranteed monthly income. Clients pay less; you get predictable cash flow.
Freelance web developer targeting $75,000 take-home, $5,000 expenses, 48 weeks, 40 hrs/week, 60% utilization, 30% tax, no platform fee:
Step 1 — Calculate effective tax rate
30% tax + 0% platform = 30% effective
Step 2 — Calculate gross revenue needed
Gross = $75,000 ÷ (1 − 0.30) + $5,000
= $75,000 ÷ 0.70 + $5,000
= $107,143 + $5,000 = $112,143
Step 3 — Calculate billable hours
Billable = 48 × 40 × 0.60 = 1,152 hrs/yr
Step 4 — Calculate hourly rate
Hourly = $112,143 ÷ 1,152
= $97.35/hr (minimum)
Step 5 — Recommended rate
Recommended = $97.35 × 1.20
= $120.00/hr (with 20% buffer)
Key insight: A freelancer billing $97/hr at 60% utilization earns $75,000 take-home after taxes. At 40% utilization, the same income requires $146/hr. Utilization is the single biggest lever on your rate.

This freelance hourly rate calculator provides estimated results based on simplified formulas and general assumptions. It is for educational and informational purposes only.
Actual rates depend on your market, niche, experience, client type, geographic location, and economic conditions. A calculated rate is a minimum baseline — your pricing should also reflect the value you deliver, not just your costs.
Tax information is based on US federal and self-employment tax rules. Consult a tax professional for your specific situation. International freelancers should adjust tax rates for their local regulations.
Use the formula: Hourly Rate = Gross Revenue Needed ÷ Effective Billable Hours. Gross Revenue = (Target Take-Home ÷ (1 − Tax Rate)) + Business Expenses. Effective Billable Hours = Weeks Worked × Hours Per Week × Utilization Rate. This calculator does all of this automatically — enter your income target, expenses, schedule, and tax rate.
